Board Meeting Highlights

Wednesday, July 16, 2026 (Virtual Meeting)

Thank you to everyone who attended our July Board Meeting. For those who were unable to join us, below is a summary of the major topics discussed. Please note that this is not the official meeting minutes, but rather a recap of the discussions and actions taken. Official minutes will be presented for approval at the next Board Meeting.

Financial Update

The Board reviewed and approved the Association’s financial report.

  • Operating Account:ย $59,710.71
  • Reserve Account:ย $111,030.32
  • Reserve funding remains healthy and within CPA recommendations.
  • Monthly reserve contribution continues to strengthen the Association’s ability to fund future roof replacements and capital improvements.
  • Current homeowner delinquency stands at approximatelyย $18,456, with collection efforts continuing.

Flooding & Stormwater Concerns

Recent heavy rainstorms resulted in significant flooding throughout Philadelphia, including portions of our community.

Discussion included:

  • Flooding in the Mermaid parking lot during severe storms.
  • Reports that clogged city storm drains may be contributing to runoff entering our property.
  • The Board will contact neighboring municipalities and continue investigating drainage concerns.
  • Homeowners were encouraged to submitย 311 requestsย reporting clogged storm drains to help document the issue.

Temporary Parking Relief Approved

During National Weather Service severe storm alerts, homeowners whose assigned parking spaces are prone to flooding may temporarily relocate their vehicles to available visitor parking until floodwaters recede.

The Board unanimously approved this temporary seasonal accommodation.

Residents also discussed:

  • Possible use of sandbags in flood-prone areas.
  • Exploring long-term solutions with the City.

Landscaping

The Board reviewed the updated landscaping program.

Key reminders:

  • Flower boxes and homeowner-installed landscaping under approximately three feet remain the homeowner’s responsibility.
  • HOA-maintained trees, large shrubs, and original common-area landscaping remain the Association’s responsibility.
  • Several residents identified bushes requiring trimming or creating safety concerns.
  • The Board will review these locations and explore having smaller trimming jobs completed by maintenance where appropriate.
  • Safety concerns involving overgrown bushes blocking windows or entrances will receive priority review.

Exterior Maintenance

Residents were reminded to inspect the exterior of their homes.

Items discussed included:

  • Sealing exterior cable and wire penetrations with caulk to prevent moisture intrusion.
  • Repairing or replacing non-functioning exterior lights.
  • Maintaining patios, roof decks, and construction materials in a neat condition.
  • Preparing for the upcoming exterior property inspection.

Several homeowners also reported:

  • Stucco cracks
  • Water intrusion around windows
  • Roof leaks
  • Interior ceiling cracks

The Board will continue coordinating inspections and repairs through Onyx and maintenance contractors.


Plumbing

The Board continues working toward better documentation of each home’s individual water shutoff valve.

A homeowner survey will be distributed in the future to help identify shutoff locations throughout the community, improving emergency response and reducing unnecessary disruption during plumbing repairs.


Recycling & Trash

The Board clarified recent confusion regarding recycling.

Current understanding is:

  • Philadelphia doesย notย officially accept clear plastic trash bags as recycling containers.
  • Residents should continue separating recycling whenever possible.
  • Additional clarification from the City will be sought as needed.

Fence Replacement Project

The Board continues exploring affordable options to replace aging wooden privacy fences throughout the community.

Current discussions include:

  • Purchasing replacement lumber rather than pre-built fence panels.
  • Utilizing maintenance staff where appropriate to reduce costs.
  • Approximately 30+ fences remain on the replacement list.

Welcome to Our New Neighbors

The Board welcomed:

  • New homeowner inย H2 announced
  • Introduction of Deb inย A4, attending her first HOA meeting

We encourage all new residents to stay involved and attend future meetings.


Community Safety Reminder

Residents reported suspicious late-night activity involving individuals checking vehicle doors in the Mermaid parking lot.

Please remember to:

  • Lock your vehicle doors.
  • Remove valuables from sight.
  • Report suspicious activity immediately.
  • Ensure exterior lighting remains operational.

Additional Community Updates

The Board also discussed:

  • Continued monitoring of homes currently going through probate.
  • Following up on maintenance requests submitted through the homeowner portal.
  • Encouraging residents to report safety concerns promptly so they can be addressed.
